1) Why we collect data
Modern Work is committed to respecting and protecting your data. We collect your personal information, because it helps us to understand your needs and guides the way in which we interact and communicate with you about our publications and services now and in the future.
We have strict policies and procedures in place to protect your data when you send it to us; when we process it in order to provide you with the services you have requested; or, where you have given us your permission to do so, to send you information that we think you’ll find interesting, and thereafter when we store your data on our secure servers.
2) How we collect data
The personal information we collect from you or a third party is the minimum required to provide you with the service requested, and we only pass your information to third parties for the fulfilment of the service and in the manner outlined in this policy.
Modern Work magazine website will collect your IP address to collate information on pages viewed. If you have signed up for our newsletter or have signed up to comment, we will request your name and email address. If you have subscribed to receive a printed copy of the magazine or bought a physical copy of the magazine we will collect the following: name, email, address, phone number and bank or payment card details to pay for the product.
Other ways we may collect your data is if you submit a query, question of article idea via contact us page/ email.
We may also collect your data if you attend an IPSE event.
3) How your data is used
We will use your data for the following:
- To maintain records of our mailing lists for the newsletter
- To take payment for our subscription service
We will not share your personal data with any other third parties unless we are required to do so by law or in a limited number of cases where we may share with partner companies, we will inform you and request your consent before sharing occurs.
4) How we process your data
IPSE and Modern Work follow the General Data Protection Regulation 2018 (GDPR). Under the legislation, we process your data to do the following:
- To comply with contractual obligations. This includes sending printed copies of the magazine to those who have subscribed through our website.
- If you have a legitimate interest and have given your consent by subscribing to our newsletter. You can ask us to change or unsubscribe at any time.
- We may also be obliged by law to disclose your data to a regulatory body or law enforcement agency.
5) Who has access to your data
Modern Work will not sell your data to third parties.
We use third parties to help Modern Work process and manage its services. These include:
- Payment processors: we use payment processers to securely take payment for buying or subscribing to printed editions of the magazine.
- Data management: we use third parties to provide services to securely store the data for operational and back-up purposes.
- Mailing services: we use third parties to manage our mailing lists for newsletter subscribers
6) Access your data
Under GDPR, you have a number of rights which are aimed at giving you control about how your personal data is used by us.
- Right to be informed
- Right of access
You have the right to ask us what data we hold about you. On receipt of a valid request, which may include validating your identity, we will provide all the data we hold about you within one calendar month.
- Right of rectification
You have the right to ask us to correct any of your data which is incorrect or requires to be updated, we will do this within one calendar month of receipt of a valid request, which may include verifying your identity and we may request proof of the correct data.
- Right to erasure
You have the right to request that Modern Work erase your data, we will process such requests within one calendar month of receiving a valid request, which may include verifying your identity. There may be circumstances when we are unable to erase all data – either due to a legal obligation to retain your data (including legitimate interest), or because we are contractually obliged to provide you with a product or service. If this is the case, we will explain this in our response to the request.
- Right to restrict processing
You have the right to request that Modern Work restrict the processing of your data in some circumstances. This may be due to a dispute over the accuracy of the data or when you have exercised your right to object (below) and IPSE are considering the request. Rights to restrict processing are therefore usually temporary in nature and will be assessed on receipt of a valid and authenticated request. It may not always be possible to restrict processing either due to a legal obligation to retain your data (including legitimate interest), or because we are contractually obliged to provide you with a product or service.
- Right to data portability
You have the right to request Modern Work to transfer the data held about you to another organisation. Although this concept works well between providers of similar services such as banks and building societies, Modern Work provides a unique service to their members and it is unlikely the data requested or the system requirements of the receiving organisation would be the same as Modern Work. However, we will consider any such request on receipt of a valid and authenticated request and will provide you with a written response.
- Right to object
Your right to object to your data being processed mainly concerns direct marketing and limiting data processing based on legitimate interests.
If you consider that some of the data held is no longer required for legitimate purposes, we will consider this within one calendar month of receipt of a valid request, which may include verifying your identity. Please send all data requests to email@example.com
7) How long do we hold your data for?
We will only hold your data for as long as needed to for the purpose we have collected it.
- Mailing lists: If you ask to be removed from the newsletter, your details will be put on a suppression list indefinitely unless you instruct us otherwise. This will mean you will no longer receive any emails.
- Comments: Any personal data related to comment submission will be held for a year after deactivation. Your account will remain active unless you tell us otherwise.
- Submission of articles/ authors: Your data will be held indefinitely unless you tell us otherwise. If you ask us to remove your name as an author, we will hold your data for 18 months after deletion. (Please note, after deletion, your byline will no longer appear on any articles you have written).
- Payment: Data related to payments will be held for seven years after the last purchase.
